It is best if the persons responsible for the system develop role descriptions with their departments in advance and document them outside SAP SuccessFactors (e.g., as in Fig. 2). In case of queries, they can use this basis to explain exactly why someone has been given a certain authorization. The role descriptions and the report help to work in a DSGVO-compliant manner. Since the report updates automatically, companies have no additional effort to document the changes - one less unloved (and often "forgotten") task.
The context-dependent authorizations combine the general and structural authorizations and avoid situations like in the example above. The context-dependent authorizations can be separated so finely that a separation of functions can be made possible without any gaps. Basically, with context-dependent authorizations, the authorization objects are supplemented by structural authorization profiles. This means that authorizations are no longer assigned generally, but only for the objects in the authorization profile. The use of context-dependent authorizations means that the familiar P_ORGIN authorization objects are replaced by P_ORGINCON and P_ORGXX by P_ORGXXCON. The new authorization objects then contain a parameter for the authorization profile.

To do this, first define what information should be checked. In the SU20 transaction, verify that the required fields may already exist as permission fields. If you want to check custom fields, you must create your own permission fields in the transaction SU20. Please pay particular attention to the (F4) help provided. When defining customised permission fields, you assign a name in the Field Name field that is in your Customer Name Room and assign the corresponding data element and, if desired, a table name for a value help. The next step is to create your own authorization object and assign your permission fields and, if necessary, default permission fields. If you use the ACTVT field to validate the activity, you must use the Activities allowed button to select the activities that you want to validate from the source code of your programme. A major advantage of SAP SuccessFactors is flexibility. Different project teams can implement and use several modules, processes or add-ons in a short time. The processes can be optimized again and again. A central basis for extensively digitized processes are structured specifications that regulate system access and control access rights. In this context, SAP offers the concept of role-based authorizations. Role-based SAP authorizations grant different groups of people different options for action and views in the system, e.g., regulate access to salary data. Role-based authorizations are flexible and facilitate global implementations of SAP SuccessFactors, e.g. in different national companies. Once implemented, roles and their authorizations can be quickly rolled out to the new region. The roles do not have to be completely reconfigured each time. Slight adjustments are all that is required.
